AI Order Processing for Epicor Prophet 21 (P21)
Turn Customer Purchase Orders Into P21 Sales Orders — Without All the Manual Data Entry
What if a customer purchase order arriving by email didn't automatically become a manual order-entry project?
Many distributors receive hundreds or thousands of customer purchase orders in different PDF formats, layouts and terminology. Someone has to open the email, read the PO, identify the customer, match item numbers and ship-to information, validate the order and enter it into Prophet 21.
AI-assisted order processing can change that workflow.
MindHARBOR can develop custom AI and OCR-powered order processing solutions for Epicor Prophet 21 that monitor incoming customer purchase orders, extract and interpret order information, validate it against P21 and move qualified orders toward sales-order creation.
When something doesn't match or can't be confidently validated?
Send the exception to a person instead of guessing.
From Customer PO to P21 Sales Order
The basic workflow can be surprisingly straightforward: RECEIVE → READ → INTERPRET → MATCH → VALIDATE → CREATE OR REVIEW
A customer sends a purchase order to a designated Microsoft 365 mailbox.
The system retrieves the attached PDF and determines whether the document contains readable digital information or requires OCR processing.
AI can then interpret the customer-specific document and transform the unstructured purchase-order information into a standardized order structure.
From there, the information can be matched and validated against Prophet 21 before anything is submitted as an order.
Different Customers. Different Purchase Orders. One P21 Workflow.
That's where AI becomes particularly useful.
Customer purchase orders rarely arrive in one nice standardized format. Different customers may use their own:
-
Part numbers and descriptions
-
PO layouts
-
Shipping terminology
-
Units of measure
-
Customer and location information
-
PDF formats and document quality
Instead of developing a rigid document template for every possible PO layout, AI and OCR can help interpret those variations and convert the information into a consistent structure that can then be validated against P21.
Match the PO to What P21 Knows
Reading the document is only part of the job.
Before creating a sales order, the extracted information needs to correspond to the right information inside Prophet 21.
Customer Identification
The solution can use information such as the sender's email address and other available PO data to identify the appropriate P21 customer.
If the customer cannot be confidently identified, the order can be sent for review rather than automatically processed.
Item Matching
Customer part numbers don't always match your P21 Item IDs.
Matching logic can evaluate information in stages, including:
P21 Item ID → Customer Part Number → Alternate / Supplier / Manufacturer Codes
More advanced implementations can incorporate confidence scoring and additional customer-specific matching logic.
Ship-To Identification
Shipping information extracted from the PO can be compared with existing P21 Ship-To information.
When a reliable match isn't available, configurable rules can determine whether to route the order for review or use another approved process.
Automate the Routine Orders. Let People Handle the Exceptions.
The goal isn't necessarily zero human involvement.
It's reducing the repetitive work.
Before an order is submitted to P21, the solution can validate requirements such as customer identification, active status, PO number, duplicate orders, item matching, UOM, Ship-To and customer-specific credit or business rules.
If the required information passes validation, the transaction can continue toward P21 sales-order creation.
If something doesn't look right, don't guess.
Route it to the appropriate employee for review.
That allows automation to process routine, high-confidence transactions while your people remain in control of the exceptions.
Keep the Original Document — And the Trail Behind the Order
Automated order processing shouldn't become a black box.
The solution can maintain the source PO and associated processing information, including extracted text, OCR results where applicable, validation results, the resulting P21 sales-order number and exception/error information.
A customer-controlled document repository such as SharePoint can provide an electronic trail between the original customer PO and the resulting P21 transaction.
Built Around Your Prophet 21 Environment
Every distributor handles order entry differently.
Your customers are different. Your P21 configuration is different. Your item and customer relationships are different. And your rules for deciding whether an order is safe to process automatically are different.
That's why MindHARBOR approaches AI-assisted order processing as a custom P21 automation project, not a generic one-size-fits-all product.
The architecture can be designed around your P21 environment, Microsoft 365 infrastructure, document repository, business rules, security requirements and approved AI environment.
It can also be designed for on-premises, hybrid or P21 SaaS environments depending on available APIs, data access and transaction requirements.
Start With Real Customer Purchase Orders
You don't need to begin with a giant automation project.
A practical first step is to give us a representative sample of the purchase orders your team actually receives.
We can evaluate the different formats, extraction requirements, item/customer matching challenges, unusual documents and business rules—and determine how effectively AI and OCR could turn them into a standardized order structure.
Because AI/OCR isn't inherently 100% accurate, the objective isn't blind automation. It's controlled automation with validation and people where they're needed.
What Could AI-Assisted Order Processing Mean for Your Team?
Less repetitive order entry.
Faster processing of routine customer POs.
More consistent validation.
Better visibility into exceptions.
And more time for your people to work with customers instead of retyping their purchase orders.
