At P21WWUG Connect 2026, AI seemed to be everywhere. You couldn't walk very far without hearing the term in a conversation, presentation, product demonstration or booth discussion.

But we also noticed a challenge: many of the AI terms being used don't always mean the same thing—and sometimes weren't being used quite as intended.

Artificial Intelligence, Machine Learning, Generative AI, LLMs, copilots, RAG, AI agents, Agentic AI and automation can describe very different technologies and capabilities.

Understanding those differences matters when evaluating what a solution actually does, what data it needs, where that data goes, what systems it can interact with, and whether AI is even the right tool for the problem.

You don't need to become an AI expert. But understanding the language can help you ask better questions and make better decisions.

What AI Can Mean for Prophet 21 Users

One of the more significant changes underway is the evolution from Generative AI that primarily answers questions or creates content toward AI systems capable of interacting with tools, data and business processes.

That's where concepts such as AI agents, Agentic AI, RAG, MCP, APIs and integrations begin to become especially relevant to ERP environments.

​

An AI system might help a user find information in P21 today. More advanced systems can analyze a situation, use approved tools to retrieve additional information, recommend an action, initiate a workflow or—with appropriate authorization—perform specific actions within connected business systems.

​

That creates tremendous opportunity.

​

It also makes data control, security, permissions, human oversight and auditability increasingly important.

 

Your ERP Data Still Matters

AI doesn't eliminate the need for good data or good integration.  In many ways, it makes both more important.

​

An incredibly capable AI model has limited business value if it cannot securely access the appropriate ERP data, APIs, databases, documents, CRM systems, EDI flows, supplier/customer systems and company knowledge needed to perform useful work.

 

And once AI progresses from: “TELL ME SOMETHING”  to: “DO SOMETHING FOR ME” organizations also need to understand who or what has access, what information it can use, what actions it is authorized to perform, when human approval is required, and how those actions can be audited afterward.

The AI may provide the intelligence.

​

But it still needs trustworthy information, secure connections to the business, permission to act and appropriate human controls.
